Documentation Pathways

Structured documentation pathways for reliable project records

EDIS organizes project documentation through client-facing pathways based on the purpose of the record, required review context, capture environment, delivery needs, and continuity requirements.

Public Pathways

Four standard documentation pathways.

These pathways describe the public-facing documentation categories. Capture methods, access controls, validation requirements, and retention expectations are finalized during scope review.

Pathway 1

Baseline Visual Evidence

Clear, verifiable visual records for existing conditions, insurance reference, warranty documentation, pre-inspection support, and project baselines.

Used For

  • Existing condition records
  • Pre-inspection documentation
  • Insurance or warranty reference
  • Construction and property baselines
  • Before/after comparison support

May Include

  • High-resolution visual records
  • Geo-tagged and timestamped files where applicable
  • Structured digital archive
  • Branded PDF photo summary

Does Not Include

  • Interpretation
  • Measurements
  • Maps
  • 3D models
  • Engineering conclusions

Pathway 2

Inspection Documentation

Inspection-ready visual documentation organized for review, reporting, and stakeholder communication.

Used For

  • Facility or asset condition review
  • Construction progress documentation
  • Maintenance records
  • Contractor coordination
  • Engineering review support

May Include

  • Annotated images
  • Points of interest
  • Directional context
  • Inspection-ready PDF report
  • Expanded capture parameters

Does Not Include

  • Engineering conclusions
  • Licensed inspection certification
  • Survey-grade outputs
  • Regulatory approval

Pathway 3

Mapping & Spatial Records

Geo-referenced documentation used to support site planning, coordination, surface condition tracking, and spatial reference.

Used For

  • Site planning
  • Construction layout reference
  • Orthomosaic documentation
  • Spatial coordination
  • Surface condition tracking

May Include

  • Orthomosaic maps
  • Geo-referenced imagery
  • Declared accuracy class
  • Branded map layouts
  • Optional basic reference measurements

Does Not Include

  • Licensed land surveying
  • Boundary determination
  • Engineering validation

Pathway 4

3D & Point-Cloud Documentation

Navigable spatial records and model-based documentation used for complex assets, facilities, and long-term reference.

Used For

  • Industrial assets
  • Vertical structures
  • Interior/exterior facility records
  • Digital reference models
  • Long-term spatial archive

May Include

  • Photogrammetry models
  • LiDAR / point-cloud outputs
  • E57 / LAS / LAZ or equivalent files
  • Online or offline model viewers
  • Annotated still exports
  • Declared capture method and device summary

Does Not Include

  • Survey certification
  • Structural sign-off
  • Design authority
  • Engineering approval

Chain-of-Custody Controls

Continuity from authorization through delivery and archive.

Chain-of-Custody controls document authorization, handling, transfer, controlled delivery, and archive continuity. Baseline custody controls apply to all EDIS records, with enhanced controls added when scope requires them.

QCM Validation

Independent validation before release.

Quality control validation confirms technical usability, scope alignment, custody continuity, and delivery readiness before records are released to stakeholders.

Secure Delivery & Continuity

Controlled access, retention planning, and long-term reference.

Delivery, access, retention, and archive expectations are defined during scope review so documentation remains useful after site conditions change.

Need enhanced custody, audit support, or dispute-ready records?

Some projects require additional controls beyond the standard documentation pathways. When needed, EDIS may recommend Evidence Elevation for enhanced custody governance, secure access, audit readiness, insurance/dispute support, or long-term evidentiary continuity.
